Africa-Press – Malawi. <\/strong><\/span>Recently, one of the commercial banks in the country requested its customers, through a short public notice, to urgently update their personal information with the bank. The institution further warned that failure to do so would culminate in bank accounts being frozen. Apparently, this is more of a regulatory requirement from the central bank than a surprise undertaking unbeknown to commercial banks.<\/p>\n

And so, in compliance, customers thronged to the bank to have their account details updated. Most customers thought that as long as one had an account with the bank, they would only have to walk in at any of the bank\u2019s service centres for the exercise and get done in just minutes. But they had it the hard way. There was congestion in banking halls as the initial deadline approached.<\/p>\n

Following this, customers vented their anger at institution itself through social media outlets. Probably in a bid to quell the situation, the institution organised a presser to clarify on some of the grey areas, making others wonder why all this information was not provided at the onset of the exercise.<\/p>\n

For starters, this could have been avoided if there was proper stakeholder engagement\u2014 for purposes of maintaining the institution\u2019s public image and reputation.<\/p>\n

What is worrisome, however, is that the situation witnessed during this \u201cKnow Your Customer\u201d brouhaha is a common occurrence in public and private sector entities. In most cases, reputational issues are not given the necessary attention when it comes to engaging stakeholders.<\/p>\n

Not long ago, there was a video clip which went viral on social media of an angry woman in Lilongwe erasing, with a stone, details on a magnificent billboard of a public service entity. She was visibly angry that the billboard had indicated wrong details to the public on the opening time of the service centre.<\/p>\n

And that\u2019s not all; situations abound where senior officials from one institution have separately issued contradicting information to the public, only to backtrack later. Local media has, of late, also been awash with news about conflicts, which could have been resolved amicably, getting out of hand. These situations and many others could easily be avoided if the Public Relations (PR) function were involved at the onset. This ensures that management decisions are scrutinised beforehand through reputation lens and that the needs and expectations of all stakeholders, or those affected by the decision, are taken care of.<\/p>\n

Effective engagement with stakeholders, including customers, employees, investors and the like is vital for organisations to appreciate their needs, address their concerns and build trust. On the other hand, involving PR throughout the decision-making process helps organisations jealously safeguard their reputation<\/p>\n

Reputation is vital. It can affect an organisation\u2019s credibility, influence, and help build relationships with stakeholders. A positive reputation can help you attract and retain customers, investors, partners, employees and even investors. While reputation is the responsibility of all, it is important for an organisation to speak with one voice and in a coordinated matter. Unfortunately, despite its importance in this regard, PR is always underestimated and misunderstood in most institutions.<\/p>\n

According to the State Ethics and the PR Industry in Africa 2023 report, PR continues to be leaned on for its reactive value, as opposed to the real value it could add if it were involved at an earlier stage of an organisation\u2019s business strategy. The report further notes that \u201cmost organisations remember PR when they are challenged\u201d and that \u201cgovernments are not investing enough in PR and communications or hearing the call of strategy in this area\u201d.<\/p>\n

Currently there is no consensus as to where PR function should be placed. In most entities, it is usually on the peripheral, with most of PR cadres being at technician or junior manager level. In some institutions, it reports directly to the chief executive officer while, in some, it appears under the umbrella of some department.<\/p>\n

However, according to PR guru James Grunig, PR is most effective when a senior PR manager is a member of the dominant coalition \u2013 those who wield power in making strategic decisions\u2014 where he or she will be better placed to help in shaping the organisations goals as well as determining which external publics are most strategic. A PR voice in the dominant coalition is instrumental in preventing crisis and reputational damage because he\/she is able to weigh in on decisions and ensure that stakeholder interests are not overlooked.<\/p>\n

But in order for the PR practitioners to book themselves a space into the dominant coalition, they must be seen to add value with their thoughts and ideas. They should be in a position to provide solutions to entities they work for. But this depends on how accommodating and willing leadership is in the dominant coalition to listen to the perspective of the PR manager.<\/p>\n
